Employment Type: Part-Time ($20/hour, with up to 30 hours/weekly)

Position Overview

This specialized Administrative Assistant role at Keating O’Gara Law Firm provides essential support to union operations of the Fraternal Order of Police Lodge #88, ensuring the smooth execution of administrative and membership processes. The role encompasses comprehensive record management, meeting coordination, and effective communication with key stakeholders, including union members and legal counsel. The successful candidate will demonstrate high attention to detail, strong organizational skills, and the ability to meet critical deadlines in a dynamic environment.

Key Responsibilities

Membership Administration

  • Process new membership applications and maintain up-to-date digital membership records in OneDrive.
  • Manage the membership database, ensuring accuracy and confidentiality.
  • Onboard new members to union communication platforms (e.g., website, Mailchimp).
  • Coordinate payroll updates and process membership withdrawals in accordance with eligibility policies.

Scheduling & Meeting Coordination

  • Schedule and organize meetings, union facility tours, labor meetings, and monthly board sessions with internal and external partners.
  • Prepare and distribute agendas and materials for upcoming meetings.
  • Manage training logistics and maintain ongoing communication regarding event arrangements.

General Administrative Support

  • Provide day-to-day administrative assistance to union leadership, including maintaining and updating documents, rosters, and records.
  • Draft and send official correspondence and facilitate timely email communications.
  • Serve as a liaison and point of contact for both union members and legal representatives as needed.

Required Skills & Qualifications

  • Exceptional attention to accuracy and detail.
  • Proficiency with Microsoft OneDrive, Outlook, Mailchimp, Gmail, and Google Calendar.
