Position Overview
We are seeking a detail-oriented, customer-focused, and self-motivated Dispatch Support Specialist to join our operations team. This position plays a critical role in ensuring accurate order entry, inventory management, and load planning for timely and efficient fuel deliveries. Success in this role requires strong communication skills, the ability to provide a high level of service to customers, and problem-solving skills to support day-to-day operations.
This position also offers a clear advancement path to Petroleum Dispatcher, which includes additional scheduling responsibilities.
Key Responsibilities
- Customer Service
- Answer incoming calls in a professional and courteous manner.
- Take and confirm fuel orders while ensuring customer needs are clearly understood and met.
- Communicate effectively with customers to provide a high level of service and resolve inquiries.
- Order Entry & Load Planning
- Enter orders into the dispatching system, designating products, gallons, and delivery details.
- Monitor customer fuel inventories to determine product needs.
- Build efficient and accurate delivery loads based on orders and supply availability.
- Coordination & Support
- Communicate with dispatchers and drivers to ensure timely and accurate delivery scheduling.
- Identify and problem-solve issues related to orders, scheduling, or deliveries.
- Maintain accurate records of orders, customer requests, and scheduled deliveries.
Qualifications
- High school diploma or equivalent required; additional education or training in logistics, business, or operations a plus.
- 1-2 years of professional experience is required (Logistics, Customer Service, or related fields)
- Strong communication skills with the ability to clearly interact with both customers and team members.
- Proven ability to provide a high level of customer service.
- Self-motivated with strong problem-solving and organizational skills.
- Ability to work independently in a fast-paced environment and handle multiple priorities.
- Proficiency with computers and order entry systems; experience in petroleum, transportation, or logistics industries preferred but not required.
